What is email reconciliation?
Email reconciliation is used to configure email deletion handling option of email accounts that are set in BB device.
For each mail account you can state whether you want the e-mail deleted on the handheld or the mailbox and handheld;
You can set the device the following ways:
Enable or disable wireless reconciliation and configure how conflicts are handled.
In order to set reconciling options on Black Berry Device go to:
Messages –> then select “Options”–> “Email Reconciliation”
Reconciliation options are:
Delete on: “Mailbox & handheld” – Means: When you delete message on Device or outlook message will be deleted.
Delete on: “Handled” – Means: When you delete message on Device, message won’t be deleted from mailbox.
Recommended settings setup:
1. From your home screen, go into your Messages folder.
2. Once in your messages, folder, bring up your menu
3. Scroll down to and choose “Options”.
4. Scroll down to and select “Email Reconciliation”.
5. In the “Email Reconciliation” menu, make sure “Delete On” is set to “Mailbox & Handheld”.
6. Confirm that Wireless Reconcile is set to “On”
7. Confirm that “On Conflicts” your “Mailbox Wins”
8. Save your changes.
9. Exit back out to your messages folder, and once again bring up the menu.
10. Scroll down to “Reconcile Now” to force reconciliation between your handheld and In-Box.
11. Your messages should now synchronize between your BlackBerry and In-Box.
Some general guidelines for Reconciliation
Most people thing that message deleted on outlook should disappear from BB device immediately and start panic. So don’t , be more patient . it takes approximately 20 minutes till messages are deleted from Handheld
1. If you delete an email from Outlook you need to leave it in the recycle bin otherwise the BES will lose track of the email and it won’t be deleted from the device. Don’t use (Shift+Delete) If you want to use shift+delete you need to activate Hard deletes reconciliation on BES 5 Server.
2.If you Outlook account is set up to transfer new emails to PST . They will never get to your BB device.
3. Remember! The deletes from Exchange to BlackBerry is not immediate. BES reconcile uses the 20/100 rule. That’s every 20 minutes or 100 changes whichever comes first. Alternatively, you can use the Reconsile Now function. Outlook in cached mode only does send and receive every 5 minutes (this also updates read, deleted & moved items), then the device will only do reconciliations every 15 minutes. To speed this process up just hit “Send & Receive” and then “Reconcile Now” on the device.
Testing:
Outlook to BB takes up to 20 min. I find it useful to do this test:
Delete – BB
Delete – Outlook
Wait for them to deliver to both mailbox and BB.
Now delete – BB on Blackberry and watch outlook, it should take a min or two. And move to deleted in Outlook
If that works… It’s working as it should and you’re dealing with a user workflow issue. I find it helpful to turn off Empty delete folder on exit.

Thanks!
The tip about not using “Shift-Delete” when deleting emails helped. I have my Outlook set to empty the trash bin any time it exits…I believe that was causing some of my problems.
Great work. It helped me solve a user issue at work. Thank you for posting this article.

What about moving emails to folders? should them disappear from messages icon?
Juan
No, if you move email to other folder it doesn’t disappear from BB device.
The icon of message will change but will stay in your blackberry.
This site has been very helpful over my BES project, thanks for your notes!
If users archives a message the same day they recieved it, is there a way to remove if from the BB as well or are they then required to delete it on their BB?
What if I am trying to do the exact opposite? I have several email accounts set up on my Blackberry and also set up on my home office computer using outlook. For some reason, recently, my emails are disappearing off my blackberry even though I am not deleting them on the phone or outlook. It is currently 1/11/10 and my email on the blackberry only goes back until 12/24/2009. I rarely use my desktop. Any suggestions?
Thanks
Great post.
is the email reconciliation also works for outlook contacts, i’ve made some changes on my outlook contacts however it didn’t get sync on my BB even if i use the “reconsile now”..
can you advice?
Thanks
Someone earlier asked about moving an e-mail to a folder.
How do you get the Blackberry to pick up that change?
Thanks
Thanks for the post. I’m accessing my work email via Blackberry Internet Service on my 8100. My employer recently changed a domain name server to point to new Exchange servers. I wound up having to delete my existing email account on my Blackberry, and create a new one (with the same email address). I am now successfully receiving emails but have noticed a strange pattern
If I reply to a message on my destop Outlook client, (this happens even in draft/save mode)
- I will receive the original message (from the sender) again on my phone, but not my on the client or Outlook web
I never noticed this pattern prior to deleting my existing account and creating the new one.
My email reconcilation settings are:
Delete on: Prompt
Wireless Reconcile: On
On Conflicts: Mailbox Wins
Also, I have verified that the Auto BCC option is not selected.
Thanks in advance for any advice!
I would like to add one important issue, which I was facing, and our tech support resolved (Thanks Habeeb!)
Reconciliation will NOT work, if the number of items in the deleted items folder is too large! Since the Blackberry server scans the deleted items folder to decide which items should be removed from the device, if this list is too big, (I think) it just gives up.
To confirm if this is the issue, clear the deleted items folder completely. (If you are uncomfortable doing this, archive the folder into another PST, or move it to another folder). Then try the reconciliation. It should work, if all other setting are fine. If it does, and the deleted items folder is the issue, set Auto Archive to archive this folder every two days into a PST, so that it never grows too big.
Shripad.
Also interested int he question about moving an e-mail to a pst folder. How do you get the Blackberry to pick up that change, hence delete it from the BB?
Thanks
I wish this would fix my issue. I’m currently getting all my mail on my blackberry ONLY and not in Outlook any longer?
Hi all

Hi John,
As far as I know there is no such way.
Hi all,
We have issue related to above:
how can i configure setting in BES 5.0 that we have and smartphone bold 9700 to spesific deleting process from one place (outlook or BB),i set the message reconcilation to true in BES side..
any idea to help
Thanks
The BB needs to allow for emails moved to a personal folder on my PC to be deleted from the BB Inbox. That is why I move them in the first place – to move things I don’t need cluttering up my Inbox but want access to later (from my PC obviously). Why must they stick around to clutter up my BB? Crazy.
hi there amazing post you have going here!
